Invite a participant
This guide is for a support worker. A participant joins by invitation. They have their own free access, consent choices and emailed sign-in code. Do not create a worker account for them.
Before you start
Have the participant's full legal name and email address. A mobile number is optional. Explain that you plan to invite them and check that the address is theirs.
On the web
- Select Participants, then Invite a participant.
- Enter Full legal name and Email address.
- If you add a mobile, use international format: a plus sign and 8 to 15 digits, without spaces. Do not paste a private number into help requests.
- Select Send the invitation.
- Check Invitation pending. It shows Requested, Sent, Expires and Accepted when those facts are available. Not set is not confirmation of delivery.
The invitation has a limited lifetime. Use the Expires date in your account to check it. A requested invitation or sent status does not prove it reached the participant's inbox.
On the native phone app
Open Participants, then Invite a participant, or continue the worker's first-run setup guide. Enter Participant's full legal name, Their email address and the optional Their phone number. Tap Send invitation and check the state. Requested means the request exists, but sending has not yet been reported.
Pull down to check the invitation again. Set up their agreement becomes available after acceptance is confirmed. Resending, copying a replacement web address and revoking are offered only in allowed states. A replacement address may be shown only once; copy it when displayed and share it privately with the intended participant.
What the participant does
They open the invitation, check who invited them, read the participant terms and collection notice, and choose whether to agree. They do not create a password. Share Accepting an invitation with them.
Manage an invitation
Open the person's invitation page from Participants.
- Resend invitation requests a fresh invitation while it is pending.
- Copy invitation copies a usable link when offered. Check the confirmation and expiry before sharing it privately with the intended participant.
- Revoke invitation takes back a pending invitation. It does not remove an already accepted relationship.
- Send a new invitation is offered for an expired or revoked invitation when allowed.
Only use the controls shown for that invitation's current state. Once accepted, continue with Service agreements.
If something goes wrong
- No email arrived. Check the address with the participant, ask them to check junk, and use resend or a fresh copied invitation when offered.
- Their link was already used or has expired. Request a new invitation. Do not share your own sign-in.
- The request was not confirmed. Check the invitation page before sending another request. Follow the refusal message or Getting help.
